Our Philosophy
We made a deliberate decision, when Arcadia was founded, to offer one service rather than many. Not because it was the simplest model — it wasn't — but because it was the only honest one.
A property managed piecemeal is not a property managed. If security is handled by one firm, maintenance by another, and the pre-arrival preparation by a third — who, precisely, is accountable for the whole? The answer, in our experience, is no one. Gaps appear. Standards differ. Things fall through. And you, calling from Singapore or Dubai, are the one left trying to coordinate it.
Under the Arcadia model, there is a single point of responsibility. Your dedicated property manager knows your home, your preferences, and your standards. Every service below is included within that single relationship. We do not invoice separately for emergencies, specialist call-outs, or pre-arrival preparation. When something needs doing, we do it — and we tell you about it in your monthly report.
The result is a property that is maintained not as a task to be managed, but as a home to be cared for. The distinction matters more than it might seem.
Category One
The foundation of everything we do. Your property is visited regularly, assessed thoroughly, and maintained proactively — so that small issues are resolved before they become costly ones.
Your property is inspected on a regular schedule — the frequency agreed according to the property's age, complexity, and usage patterns. Following each visit, you receive a written report with photographs, noting the condition of every principal area, any items attended to, and anything we plan to address. You see exactly what we see.
Reactive maintenance is the enemy of a well-maintained property. We work from an annual maintenance plan for each property we manage — scheduling treatments, services, and inspections before problems manifest. Gutters are cleared before autumn. Boilers are serviced before winter. Paintwork is assessed before it begins to fail.
A property emergency does not observe business hours, and neither do we. Our emergency line is staffed around the clock, every day of the year. When something urgent occurs — a leak, a power failure, a structural concern — we respond immediately. You are informed once we have the situation under control and a resolution in hand.
Every tradesperson who enters your property has been personally vetted by us — checked for competence, reliability, and conduct. We brief them, supervise the work, and sign off on the result. You never need to speak to a plumber, an electrician, or a builder unless you choose to. We manage them on your behalf, completely.
Each season brings specific demands on a well-maintained home. We winterise properties that are not occupied in cold months — draining water systems, protecting exposed pipework, and ensuring the fabric of the building is protected. We open properties in spring — airing rooms, checking for any winter damage, and preparing the grounds for the warmer months ahead.
We manage the relationship with your landscaper or groundskeeper — briefing, monitoring, and holding them to account. Where no arrangement exists, we can recommend and appoint a suitable firm. Formal gardens, kitchen gardens, meadow areas, woodland, and paddocks are all included within our scope of management.
Heated outdoor pools, indoor pools, garden ponds, and ornamental water features require specialist, year-round attention. We coordinate dedicated pool technicians who maintain water chemistry, filtration systems, and heating equipment — and ensure everything is ready for use ahead of your arrival.
Managing a listed or heritage property requires knowledge, patience, and relationships that most firms simply do not have. We understand the obligations that come with Grade I, Grade II*, and Category A listings — and we manage the ongoing liaison with Historic England, Historic Environment Scotland, and local conservation officers that ownership of such a property demands.
Following any significant weather event, your property is inspected within 24 hours. We assess for structural damage, check drainage systems and gutters, and identify any remedial action required. Our response is immediate; the report reaches you the same day.
Heating, plumbing, electrical, smart home, and security systems are all managed within our service. We hold the system specifications, maintain service records, and coordinate specialists when any element requires attention. Your property's technical infrastructure is never left to fall into disrepair.
Category Two
A property left unoccupied is a property that requires particular vigilance. We ensure that your home is protected with the same attentiveness you would apply yourself.
Every visit to your property includes a check of all entry points, windows, and outbuildings. We verify that alarm systems are operational and that all areas of the property are secure. Any signs of attempted access, damage, or vulnerability are reported immediately and addressed without delay.
We hold a complete set of keys for your property, stored securely at all times and subject to a strict access log. Every key movement is recorded. We manage access for approved contractors, utility providers, and emergency services — so access is always controlled, documented, and traceable.
We act as the nominated keyholder and primary point of contact for your alarm monitoring company. If an alarm is triggered, we respond — not a call centre. We liaise with the monitoring service, attend the property if required, and coordinate with the police or emergency services as necessary.
For properties equipped with CCTV, smart locks, or connected home systems, we coordinate monitoring arrangements and ensure all systems remain operational and up to date. Where systems are outdated or inadequate, we can advise on and manage appropriate upgrades.
Deliveries, meter readings, broadband engineers, oil deliveries — the ordinary rhythm of a home continues whether you are there or not. We manage access for all routine visits, ensuring your property is never left unattended when external parties need to enter, and that every visit is confirmed, supervised, and logged.
Category Three
The administrative burden of owning a property in Britain — from council tax to insurance — is considerable. We carry all of it on your behalf.
Every property-related outgoing — utilities, council tax, ground rent, service charges, insurance premiums, contractor invoices — is paid from a dedicated management account on your behalf. Nothing lapses, nothing accrues penalty, and nothing requires your attention. You receive a complete record of all expenditure in your monthly report.
A detailed financial summary reaches you on the first working day of each month — covering all income received, all expenditure made, and any anticipated costs in the month ahead. The report is clear, itemised, and accompanied by any relevant supporting documents. You always know exactly where your property's finances stand.
At the start of each calendar year, we provide a twelve-month maintenance and expenditure forecast for your property — anticipating planned works, scheduled services, and any capital investment we recommend. This allows you to plan with confidence and ensures that nothing significant catches you by surprise.
We hold and manage your property insurance documentation, ensure renewals are processed on time, and manage claims on your behalf in the event of damage or loss. We liaise with loss adjusters and insurers directly — compiling evidence, coordinating remedial contractors, and seeing the process through to resolution.
Planning consultations, local authority correspondence, neighbourhood disputes, utility agreements — all property-related correspondence is handled within our remit. Where specialist legal or planning advice is required, we brief and coordinate the appropriate professionals, ensuring you are kept informed without being burdened by the detail.
Category Four
The moment you step through your door, the quality of what we do should be immediately, unmistakably apparent. Your home is prepared for your arrival as though someone who loves it has spent the week getting it ready.
We begin preparing your property several days before your arrival. Every room is thoroughly cleaned and aired. Linen is freshly laundered and dressed. The heating is brought to your preferred temperature. Fresh flowers are arranged in the principal rooms. A complimentary welcome arrangement is prepared. You arrive to a home that has been waiting for you — not one that has been waiting for someone to notice you're coming.
We hold your preferences — your preferred brands, dietary requirements, the wine you like to find waiting. Before each visit, we arrange and receive a full grocery delivery, stocking your kitchen to your specifications. If your plans change, we adjust the order. By the time you arrive, everything you need is where you expect it to be.
Where clients require household staff during their visit — housekeepers, chefs, butlers, or personal assistants — we source, vet, and appoint them. We brief them on the property and your preferences before they begin, and we manage their engagement throughout your stay. When you depart, we handle everything that follows.
Restaurant reservations, private transport, medical appointments, sporting activities, marina berths, children's activities — any local arrangement you wish to make, we handle. Our relationships in the areas where our properties are located are long-standing and personal, which means we can usually secure access or bookings that are unavailable through conventional channels.
For clients who travel with animals or require care for pets housed at the property, we coordinate all necessary arrangements — from vetted pet-sitters and dog walkers to kennel and cattery bookings. Your pets receive the same standard of care as your property.
Category Five
For clients who choose to let their property during periods of absence, we manage the process from end to end — discreetly, carefully, and to a standard that protects both your home and your reputation as a landlord.
We do not advertise our managed properties on public portals. We maintain a private network of known, vetted individuals and families — typically existing clients, trusted referrals, and established contacts — to whom we offer carefully selected properties. Every prospective tenant is known to us before they are introduced to your home.
Referencing, tenancy agreement drafting, deposit registration, and legal compliance — all handled within our service. We conduct the check-in and check-out personally, produce a detailed inventory report, and manage the return of the deposit with a thoroughness that protects your interests and maintains standards for the next occupant.
Rent is collected, tracked, and transferred to your account on a schedule you choose. Arrears, if they arise, are managed firmly and without delay. All rental income is accounted for within your monthly financial report.
Between tenancies or short-term lets, every changeover is managed precisely — professional cleaning, full linen replacement, an inventory check, and a property inspection before the next occupant arrives. Your property is never handed over without someone from our team having verified that it meets our standard.
Category Six
When your property needs more than maintenance — when it needs transforming — we manage every aspect of the project, from the first conversation with an architect to the final snagging walk-through.
We act as your eyes, ears, and judgement on site throughout any building or refurbishment project. From a single-room redecoration to a whole-property renovation, we manage the programme, hold contractors to account, and make the day-to-day decisions that keep the project moving — without escalating every one to you for approval.
We maintain longstanding relationships with architects, interior designers, heritage specialists, structural engineers, and craftspeople across Britain. We brief them thoroughly, manage the tendering process, and appoint those most suited to the character of your property and the nature of the work — not simply those who quote the least.
Where proposed works require planning consent or listed building consent, we manage the entire application process — commissioning the necessary surveys and drawings, submitting the application, and maintaining the relationship with the planning authority throughout. We have significant experience navigating the complexities of heritage and conservation applications.
We do not sign off on completed works until we are satisfied that the standard matches what was specified and what your property deserves. We conduct formal snagging inspections and ensure that all defects are corrected before contractors are released from their obligations. You receive a final report with photographs confirming the completed state of the works.
